Feeling overwhelmed by your holiday to do list? With a little planning (and maybe an extra pair of hands on deck), your holidays can be smooth sailing this year.

Make a list, check it twice. Take one hour and dedicate it to completing your holiday gift shopping list. No matter how many people are on the list, only take one hour to finish the list. Make three columns: Name of Person, Ship/Give in Person, Purchased Yes/No. Then, pass off the list to your personal assistant to find, purchase, and wrap the gifts. Set aside another hour to write out the cards to accompany the gifts, and let your PA send the completed packages on their way.

Handle those cards now. If you are creating and ordering specialty holiday cards and stamps, order them by November 16 at the latest. After your cards and stamps are ordered, export a spreadsheet of your contacts, highlight the people you want to send cards to, and pass off the list to your personal assistant to track down missing addresses and prep mailing labels while you wait for your cards to arrive. Once your cards arrive, let your assistant stuff your envelopes and label the entire mailing. Ask him/her to leave the envelopes unsealed so you can leaf through and add personal notes where applicable, then let her seal them up and send them off once you’ve added your notes.

Prepare for key things to go wrong. Because of worldwide increased volume, holidays bring with them travel delays, mail delays, and general madness. Prepare for your best laid plans to go awry by having a contingency plan ready. Your personal assistant can help make sure you’re headed to the airport with a list of the next available flights if yours is cancelled, and can be on hand to personally deliver a gift if that fruit basket doesn’t arrive on Christmas Eve.

Decide to stay merry and bright. The holiday season should be a time of joy, togetherness, and gratitude. No matter how crazy things get, decide to maintain a positive attitude and enjoy the season. Watch other grinches around you melt in your presence!
